Switching from Freshdesk to DeskLeap: A Complete Migration Guide
·7 min read
If you're a Freshdesk customer watching the news in 2026, you might be feeling uneasy. CX Today recently asked whether Freshworks is "walking away from customer experience" — and the numbers back up the concern. Freshdesk's CX revenue is growing at just 6% year-over-year, while the company's IT service management product (Freshservice) is growing at 27%. Combined with 11% staff cuts earlier this year, the signal is clear: Freshworks is shifting its focus away from customer support.
For teams that depend on Freshdesk for daily support operations, this raises a practical question: should you start looking at a Freshdesk alternative before the product stagnates further?
This guide covers what you need to know about switching from Freshdesk to DeskLeap — feature comparison, pricing differences, migration steps, and what you gain by making the move.
Why Freshdesk Customers Are Looking Elsewhere
Freshdesk has been a solid budget helpdesk for years. But several trends are making teams reconsider:
- Slowing investment in CX — 6% growth signals maintenance mode, not active development. New features are increasingly going to Freshservice (IT), not Freshdesk (CX).
- Staff cuts affecting support — 11% layoffs in Q1 2026 impact product development velocity and customer support quality for Freshdesk users.
- AI capabilities lagging — Freddy AI handles basic ticket classification and suggested responses, but lacks the LLM-powered auto-resolution and intelligent routing that newer platforms offer.
- Feature gating — Advanced features like field service management, sophisticated automations, and custom objects are locked behind expensive Enterprise plans ($89/agent/month, billed annually).
- Ecosystem complexity — Freshworks keeps pushing cross-product bundles (CRM + helpdesk + marketing), adding complexity for teams that just need a helpdesk.
DeskLeap vs Freshdesk: Feature Comparison
| Feature | Freshdesk | DeskLeap |
|---|---|---|
| AI auto-resolution | Basic (Freddy AI, limited) | Full LLM-powered (with the AI Agent add-on) |
| AI pricing | Included but limited; advanced AI extra | Flat rate — $29/month per AI Agent |
| Ticket routing | Rule-based + basic Freddy AI | Rule-based automation rules |
| Live chat widget | Freshchat (separate product) | Built-in, embeddable widget |
| Knowledge base | Included (Freshdesk Solutions) | Included |
| SLA management | Included on paid plans | Included free |
| CSAT surveys | Included | Included |
| WhatsApp integration | Via Freshchat add-on | Widget redirect only |
| WordPress plugin | Not available | Available |
| Free plan | Yes | Platform free, unlimited human agents |
Pricing Comparison
Freshdesk's pricing has more tiers but also more hidden costs when you need features beyond the basics:
| Freshdesk | DeskLeap | |
|---|---|---|
| Free plan | Yes | Every agent — ticketing, chat and knowledge base |
| Mid-tier | Growth: $19/agent/mo → Pro: $55/agent/mo (billed annually) | Free — AI Agent $29/month each if you add it |
| Enterprise | $89/agent/month (billed annually) | Same — free platform, $29/month per AI Agent |
| Live chat | Requires Freshchat (separate pricing) | Included for every agent |
| AI features | Freddy AI (limited on lower tiers) | Full AI with the AI Agent add-on |
| 10-agent team (annual) | $5,880/yr (Pro) or $9,480/yr (Enterprise) | $0, or $3,480/yr with the AI Agent on all 10 |
The biggest pricing difference: Freshdesk separates live chat into Freshchat, which has its own pricing. DeskLeap includes live chat, ticketing and the knowledge base for every agent, with no seat charge. For a 10-agent team on Freshdesk Pro, you'd pay $55/agent for ticketing plus additional costs for Freshchat. On DeskLeap those seats cost nothing; the only optional charge is $29/month per AI Agent.
Migration Steps: Freshdesk to DeskLeap
Switching from Freshdesk to DeskLeap is straightforward. Here's the step-by-step process:
Step 1: Export Your Freshdesk Data
From Freshdesk, export the following:
- Tickets: Admin → Tickets → Export. Download as CSV. This includes ticket history, statuses, tags, and assignee information.
- Contacts: Admin → Contacts → Export. Gets customer names, emails, companies, and custom fields.
- Knowledge base articles: Navigate to Solutions, then export articles by category. Copy content into your DeskLeap knowledge base.
- Canned responses: Document any frequently used canned responses so you can recreate them as DeskLeap canned responses.
Step 2: Set Up DeskLeap
- Create your DeskLeap account (free, no credit card)
- Add your support site in the dashboard
- Invite your team members
Step 3: Import Your Knowledge Base
Recreate your Freshdesk Solutions articles in DeskLeap's knowledge base. Organize them into collections that match your current category structure. This is the most important step because DeskLeap's AI uses your knowledge base to auto-resolve tickets — the better your articles, the more tickets the AI handles.
Step 4: Install the Chat Widget
Replace Freshchat with DeskLeap's widget. Options:
- Script tag: Paste one line of JavaScript into your site's HTML
- WordPress: Install the DeskLeap WordPress plugin
- Shopify: Use the Shopify app
Step 5: Enable AI and Go Live
Turn on AI auto-replies in your DeskLeap settings. Choose whether ticket replies are sent directly or saved as drafts for your team to approve. The AI then answers new tickets and chats from your knowledge base content.
Step 6: Run Parallel for One Week
Keep Freshdesk running alongside DeskLeap for one week. Route new tickets to DeskLeap while maintaining access to historical Freshdesk tickets. After confirming everything works, deactivate Freshdesk.
What You Gain by Switching
AI that actually resolves tickets
Freddy AI classifies and suggests. DeskLeap's AI resolves. The difference is meaningful: instead of an AI that tells agents what category a ticket belongs to, you get an AI that answers the customer's question directly from your knowledge base.
One platform instead of two
Freshdesk for tickets + Freshchat for live chat = two products, two dashboards, two billing cycles. DeskLeap combines ticketing, live chat, and knowledge base in one interface. Your agents see everything in one place.
Predictable costs as you grow
Freshdesk's feature gating means costs jump significantly when you need capabilities like custom objects, advanced automations, or sandbox environments. DeskLeap includes SLA management, integrations and CSAT free, with AI on the $29/month AI Agent add-on — no upgrade surprises.
A vendor investing in CX
This might be the most important factor. Freshworks is visibly shifting resources to IT service management. DeskLeap is 100% focused on customer support. Every engineering hour goes into making the helpdesk better — not into building an adjacent ITSM product.
What You Might Miss
Switching from Freshdesk means giving up some things:
- Nothing, on price — Freshdesk has a free plan too; DeskLeap is free for every agent with chat and knowledge base included.
- Freshworks ecosystem — If you use Freshsales (CRM) or Freshservice (ITSM) alongside Freshdesk, the cross-product integration is tight. Switching just the helpdesk means managing a separate vendor.
- Marketplace apps — Freshdesk's marketplace has more third-party integrations than DeskLeap's current catalog.
- Phone channel — Freshdesk offers Freshcaller for phone support. DeskLeap currently focuses on live chat and tickets.
Is Now the Right Time to Switch?
Timing a platform migration is about balancing risk. Switching too early means disruption for a problem that hasn't materialized yet. Switching too late means scrambling when the product you depend on gets deprecated or deprioritized.
The signals from Freshworks — 6% CX growth, 11% staff cuts, strategic pivot to ITSM — suggest that Freshdesk is entering maintenance mode. It won't disappear overnight, but the pace of innovation is slowing. Teams that switch now do it on their own timeline, with room to run parallel and migrate carefully.
Teams that wait risk migrating under pressure if Freshworks makes more aggressive cuts to their CX division.
The Bottom Line
Freshdesk is still a functional helpdesk. But "functional" isn't the same as "invested in." When your vendor's CX revenue grows at 6% while their ITSM product grows at 27%, you know where the engineering resources are going.
DeskLeap offers a straightforward alternative: modern AI, unified platform, predictable pricing, and a company that's 100% focused on customer support. The migration path is simple, and the free platform lets you test everything before committing.
